Look After Your Events via AI / ChatGPT / Claude

You can connect an AI assistant to the calendar and hand your events over to it — creating, changing, cancelling. Instead of filling in forms, you simply say what should happen.

What that sounds like in practice:

Create a milonga at Tanzsalon every Friday in September, 9 pm.

The 15th is off.

On the 22nd, guest DJ Martina is playing.

First things first: you take your data into your own hands

Until now our system reads your events automatically. The moment you connect an AI assistant, that stops for you. Every event you already have stays exactly where it is — but from then on you look after them yourself, in conversation or in the admin area.

The reason is simple: otherwise you would be working against the nightly sync. You change a start time in the evening, and overnight it is reset to whatever the other source says.

Only the editorial team can switch this back. If you find you would rather have the automatic import after all, just get in touch — it takes a minute.

What the assistant can do for you

Events

Find and show your own events, create a single date or a whole series at once, change title, description, venue and time, publish and unpublish. Plus price, capacity, registration or ticket link, the music style and labels such as "outdoors", "beginners' course" or "guest teacher" — exactly what visitors filter the calendar by. A series that is running out can be extended without creating a duplicate. When it is done, the assistant tells you what is still missing.

Single nights

Move, cancel or re-describe one single night without touching the rest of the series — with its own end time, its own price, a different venue, its own music style, labels, line-up and image. A cancellation can be revoked; a single night can also be deleted, and the assistant asks once first, because cancelling and deleting are opposites for your guests. Everything else in the run stays exactly as it was.

Venues

Search venues and view one in full detail. For your own you can change address and address supplement, description, how to get there by public transport, the dance floor including its size in square metres, the sound system, air conditioning and whether it is outdoors — German and English in one go. Also whether other organizers may pick the venue and whether it appears on the map. Map coordinates stay with the editorial team, and so do shared venues.

DJs, teachers, musicians

Search people, view them in detail, create them and assign them to an event — for one single night if you like. Plus phone, social-media links and the full dossier for a profile page: quote, references, qualifications, teaching philosophy, since when someone dances, teaches and DJs. Anyone new appears straight away in the team on your organizer page; you can also hide them there again.

Profile and wording

View and edit your organizer profile — short intro, description, social-media links, what you organize, since when, and the colour behind your logo. The calendar is bilingual — the assistant writes the German and the English version in one go. One thing to keep in mind: descriptive texts are replaced, not appended to. The assistant reads the old text first and rewrites it.

Search engines and sharing

The search-engine description and the preview when sharing — the title, text and image that appear when someone posts your link on Facebook or WhatsApp — for events, venues, people and your profile. Useful once a page is finished: "Write me the search-engine description and the sharing text for the milonga."

Images

Listing, sorting and removing images is something the assistant does directly. For a new image you get a handover link: it opens a page with nothing on it but this one image. Upload the file, save, close the window — the assistant has already written the description that goes with it.

What deliberately does not work

  • Seeing other organizers' events. The assistant only ever sees your own entries — what anyone else is putting on is not available through this route.
  • Deleting whole series, venues, people or your profile. Registrations, references, a history and a public address depend on them — such entries are cancelled or unpublished, not deleted. Exactly two things can be deleted: a single night and an image.
  • Making a person public. Anyone you create appears straight away in the team on your own page and at your events. A profile page of their own in the calendar, and an entry in the lists of teachers and DJs, is the step beyond that — the editorial team approves it, because from then on other organizers can pick that person too. A short mail to [email protected] is all it takes.
  • Changing values that are calculated or editorially maintained. For venues those are the map coordinates and the setting whether two events may run at the same venue at the same time. The assistant shows them to you but does not change them.
  • Creating or editing pictures. Cropping, rotating, touching up — none of that is possible. Nor can the assistant take the image file itself; uploading happens in the browser.
  • Double bookings. If someone else already has an event at that venue at your time, the assistant creates nothing and names the existing event. For an event of your own it only warns.

The assistant talks to the calendar in English — you don't have to

Since September 2026 the connection between the AI program and the calendar runs in English: the tools, their replies and the briefing the program receives when it connects. That is the language such programs work in most reliably. Nothing changes for you — you keep writing in your language and the assistant answers in it. The texts that end up in the calendar are German and English, as before.

How to connect

You need an organizer account — the same one you use to sign in to the admin area. A plain visitor account is not enough.

Claude and ChatGPT are the programs currently permitted.

These steps use claude.ai in the browser as the example. Other programs name things similarly.

  1. 1 Open the settings in claude.ai.
  2. 2 Go to "Customize / Connectors".
  3. 3 Choose "Add custom connector".
  4. 4 Enter "Tango Wien" as the title.
  5. 5 Enter https://tango-wien.at/mcp as the address — with /mcp at the end, that part matters.
  6. 6 Click "Connect".
  7. 7 Sign in — the calendar's familiar login window opens. The AI program never gets to see your password; you sign in on our side.
  8. 8 Approve — one last window shows you what may be accessed. One click and you are done. The permission is valid for 90 days.

Connectors are available in the free Claude plan as well — no paid account required.

So where do I start?

If you have just been approved and nothing is entered yet, this is the order. Simply say "I am new, what do I do first?" — your assistant knows it and will walk you through.

  1. Your profile: short introduction, description, logo
  2. Your venue
  3. Your events

Why in that order: if you start with the events, they go live in the calendar straight away — and anyone clicking through lands on your organizer page, which shows nothing but your name. No logo, no description. Nobody reads that as an error, because nothing actually fails; it simply looks like a half-finished presence. Ten minutes on the profile first spares you that.

It is a recommendation, not a precondition. If you would rather create an event first, you can do so at any time — nothing is refused because your profile is still empty.

When you ask about your profile, you are told unprompted what is still missing: the short introduction, the description or the logo. It is named — not written for you. The text ends up published on your page and should be yours.

If you have been connected for a while: your AI application remembers the briefing from the first connection. For it to know this order, reconnect once. Asking in an older conversation may still give you the old answer — that is not a fault on our side.

Ending access again

In the admin area you will find the entry "Verbundene Programme" (connected applications). It lists every program you have granted access to. One click on "end access" and it can no longer read or change anything from its next request onwards. You can reconnect at any time.
